1. Agreement
These Terms form the agreement between Oakwell Motorhomes Ltd (“we”, “us”) and the Hirer named on the booking confirmation.By paying your deposit, you confirm acceptance of these Terms.Nothing in this agreement affects your statutory rights.

2. What’s Included
All hires include:

  • Fully comprehensive insurance (for approved drivers)
  • Unlimited UK mileage
  • European cover (if pre-authorised)
  • UK & EU breakdown assistance
  • Cover for theft by hirer (subject to compliance)
  • Cover for cooking and heating risks
  • No hidden charges

3. Booking & Payment
A booking is secured with:

  •  £250 Deposit

Balance due 14 days before departure.
Bookings within 14 days require full payment immediately.
Deposit is non-refundable.

4. Security Deposit
Required before collection:

  • £2,000(European and uk use)
  • Drivers aged 25–29 may incur insurer surcharge

Returned within 5 working days subject to:

  • No damage beyond fair wear
  • Vehicle returned clean
  • Toilet and waste emptied
  • Fuel and AdBlue full
  • No missing items
  • All perishable, tinned, bottled items removed

Itemised deductions will be provided.
If costs exceed deposit, hirer remains liable.

5. Driver Requirements
Drivers must:

  • Be aged 25–75
  • Hold licence 2+ years
  • Have no more than 6 points
  • No recent disqualifications

Drivers aged 25–29 may be subject to insurer surcharge.
All drivers must provide:

  • Licence
  • DVLA share code
  • Two proofs of address (within 90 days)

6. Permitted Use
Vehicle may only be used:

  • For leisure purposes
  • On suitable public roads

Not permitted:

  • Off-road use
  • Festivals (unless agreed)
  • Sub-letting
  • Driving under influence
  • Unauthorised drivers

You are responsible for height awareness and overhead damage.

7. Collection & Return
Collection includes a full demonstration.
Return time as agreed in Hire Agreement.

Late Returns

  • Up to 90 minutes late: £40
  • Thereafter: £30 per 30 minutes
  • Over 3 hours late: additional daily hire rate may apply

8. Fuel & AdBlue
Vehicle must be returned with a full tank of fuel and AdBlue.
If not:

  • Pump price + £0.50 per litre administration charge
  • Minimum £25 administration fee if returned below ¼ tank

Incorrect fuel use results in full recovery and repair costs.

9. Cleaning & Toilet
Vehicle must be returned:

  • Clean internally
  • Toilet cassette emptied
  • Waste tank emptied

Charges:

  • Toilet not emptied: £40
  • Toilet contamination: £200
  • Excessive cleaning: from £75

10. Smoking Policy

Smoking or vaping inside the vehicle is strictly prohibited.
A £200 specialist cleaning charge will apply if evidence is found.

11. Damage & Loss of Hire
You are responsible for damage occurring during hire, including:

  • Bodywork
  • Tyres, mirrors, glass
  • Interior damage
  • Lost equipment
  • Lost keys
  • If damage results in cancellation of a confirmed future booking, we reserve the right to recover reasonable and evidenced loss of hire revenue directly caused by that damage.
    All incidents must be reported immediately.

12. Accidents
In event of accident:

  • Obtain third party details
  • Take photographs
  • Notify us immediately
  • Do not admit liability

13. European Travel
Permitted only if selected at booking and approved.

14. Fines
You are responsible for all fines, tolls and penalties.
£25 administration fee per notice received.

15. Pets
Up to two small or one medium dog by agreement.
Cleaning charges from £75 may apply.
Undeclared pets may incur additional charges.

16. Cancellation Policy
Deposit is non-refundable.
If cancelled:

  • More than 30 days before departure: loss of deposit only
  • 30 days or fewer before departure: no refund

Optional Cancellation Protection
Available at £10 per night of hire (must be purchased at booking).
If purchased:

  • Cancellation allowed up to 14 days before departure
  • Hire balance refunded
  • Deposit remains non-refundable
  • One date transfer within 12 months (subject to availability)

Cancellation Protection is non-refundable.

17. Dispute Resolution

We will attempt to resolve disputes amicably.

If unresolved, parties may refer the matter to mediation before court action.
